Documentation of changes and risk management in education and training activities at first and second cycle level

Changes resulting from altered teaching during the Covid-19 virus outbreak need to be documented. The documentation is a basis for future planning and follow-up.

Risk assessment on return to campus teaching

The Department is responsible for ensuring that risk assessment is carried out and that the recommendations of the Public Health Agency are followed. If there is a need for priorities/joint planning between departments on each campus, the dean is responsible for ensuring that coordination. For activities in public areas, the Property and Facilities Office is responsible.

Risk assessment can be maintained in the course act or registered if there are more courses involved in the risk assessment.

Documentation at program level and course level of ongoing changes

At course level and program level, an ongoing documentation of changes and impact management should be kept. The templates for this documentation are suggestions and can be modified based on need.

The documentation at course level must be saved/maintained in the course act.

The documentation at program level must be recorded when it is completed.

Documentation of decisions and risk management at course level

The syllabus must state that the examiner has the opportunity to deviate from the syllabus' regulations in accordance with the Guidelines for course syllabi 2019-03-13 (dnr 1-263 / 2019).

The decisions must state the background and the special reasons for the examiner's decision and for which examination occasions or during which period the decision applies.

If the conditions for the decision change, the examiner can make a new decision.

"If there are special reasons, or the need for adaptation for students with disabilities, the examiner may decide to deviate from the syllabus' regulations on examination form, number of examination opportunities, possibility of supplementation or exemption from compulsory educational elements, etc. Content and learning objectives and level of expected skills, knowledge and capabilities may not be altered, removed or reduced."

The examiner assesses what the special reasons are. The special reasons may be those described in the decision template for changing the form of examination or other special reasons, for example that it is no longer possible to carry out ordinary examinations according to plan.

The decision must state the background and the special reasons for the examiner's decision and for which examination occasions or during which period the decision applies.

If the conditions for the decision change, the examiner can make a new decision.

Risk assessment course level

The examiner decides on the risk assessment that concerns examination and assessment. The risk assessment/decision must be maintained in the course act.

Risk assessment on return to campus-based teaching is the responsibility of the department responsible for the course and for ensuring that the Swedish Public Health Agency's recommendations are followed. In the event of a need for priorities/joint planning between departments on each campus, the dean is responsible for coordinating within the department group. For activities in public areas, the Properties and Facilities Office is responsible for adapting bookings of premises so that the recommendations are possible to follow.

Risk assessment can be retained in the course act or recorded if there are more courses involved in the risk assessment.

Decisions on changed form of examination and other decisions that mean that the syllabus is deviated from.

The examiner is the decision maker. The template can be modified based on the reason for the decision. The decision must be preserved in the course act.

Documentation of decisions at program level

Move courses within the semester

The Board of Education/Program Board decides on this in the usual way.

Move courses between semesters

At present, the Education Board/Program Board shall prepare these decisions and the Committee for Education shall make the decision.

Course section cancellation

If a course section needs to be canceled, a reconciliation with SER/Fakultetskansliet, Maria Bengtsson or Bodil Lampén Helgesson, must take place before the decision is made, for example economic consequences.

The Board of Education/Program Board decides on this in the usual way.

The students' right to be represented in decisions and preparation

Students have the right to be represented when decisions are made or preparation takes place that is important for the education or the students' situation. In decisions made due to the prevailing virus outbreak Covid19, KI has agreed with the student unions that their sections for various educations should be contacted via email. If they do not respond within 24 hours, KI must interpret this as meaning that they have no objections to the proposed change. In the event of a dean's decision, the chairman of the Medical Association must be contacted.
